Rajasthan wedding planner: how to choose one and what to expect

A Rajasthan wedding is rarely one city and one venue. This page is for families choosing a planner for it, and explains what the planner holds, how remote planning works, and when to start.

In short

A Rajasthan wedding planner designs and directs the whole celebration across one or more cities: venues, décor, guest travel and stay, and artists and vendors, with one point of contact. Gātha is a boutique atelier in Pune that plans Rajasthan weddings remotely with video reviews and an on-ground team. The planning fee starts at Rs 2,00,000.

What a Rajasthan wedding planner is responsible for

A Rajasthan wedding planner is the person or team that holds the whole celebration together while your family attends to the rituals and the guests. In Rajasthan, that job has a particular shape. Venues are large, often heritage properties with their own rules. Guests arrive from several cities and sometimes from abroad. Many families want more than one function in more than one setting. A planner's value is in joining all that into one plan with one point of contact.

In practice the work divides into six parts:

  • Venue shortlisting, site checks and layout planning, including where each function sits and how guests move between them.
  • Décor and experience design: moodboards, palettes, 3D layouts, floral design, lighting and stage production.
  • Guest travel, stay and transport, with a travel desk, welcome hampers and room coordination.
  • Artists and vendors: musicians, DJs, anchors, photographers, caterers, mixologists, all briefed and managed through one contact.
  • The run of show for each day, with timings, cues and a team on the ground.
  • Money: keeping the family's own venue, décor and vendor costs transparent against the plan.

It is worth separating this from a venue's in-house coordinator, who looks after that property only. The guide to wedding planner vs wedding coordinator explains the difference in detail.

Planning across several Rajasthan cities

The four cities families usually weigh are Udaipur, Jaipur, Jodhpur and Jaisalmer, and they do not run alike. A lake setting, a city palace, a fort courtyard and a desert camp ask different things of a planner, in power, supplies, transport and guest comfort. A planner who treats them as interchangeable will miss something. The overview of a destination wedding in Rajasthan compares them side by side.

A single planner for the whole state is useful in three situations. The first is when the family is still choosing between cities and wants an honest comparison before it commits. The second is when the wedding is split, for example a ceremony in one city and a reception in another, which needs two sets of venue logistics joined by a transfer day. The third is when guests are travelling from Pune, Mumbai, Gujarat or abroad, and the family wants one team to hold every arrival and departure in one plan.

For city detail, read the pages on a wedding planner in Udaipur and a wedding planner in Jaipur. This page is about choosing and working with a planner, not about any one city.

How remote planning from Pune works

Gātha is a boutique luxury wedding atelier in Pune, and it plans Rajasthan weddings from there. Nothing here is a claim about past Rajasthan weddings; it describes the method the team follows. The method rests on four things.

  1. Video walkthroughs of the venues on your shortlist, covering every space the wedding may use, service routes included.
  2. Digital drawings and 3D layouts, reviewed with the family on video calls, so that design decisions are made on something you can see.
  3. A digital planning dashboard that shows dates, tasks, vendor status and guest travel in one place.
  4. An on-ground team at the destination, who run the set-up and the days themselves.

The same method serves families who are abroad and cannot visit often.

Remote planning has limits, and you should hear them from the planner. A site visit is still worth making once the choice is down to one venue, because a video cannot show distances, noise or the gradient of a fort approach. Rajasthan's heritage venues often have rules on music timings, outside vendors and fixing décor, and those must be confirmed with each venue directly.

What to ask a planner before you appoint one

The general list is in the guide to questions to ask a wedding planner. For Rajasthan specifically, add these.

  1. How will you plan a venue you cannot visit often, and when do you want a site visit?
  2. Who is on the ground at the destination, and from which day?
  3. How will you handle guests arriving by different routes and on different days?
  4. Which decisions do you take, and which come back to the family for approval?
  5. How are venue, décor and vendor costs shown to us, and who signs the contracts?
  6. What happens if the weather or a supplier delay forces a change?
  7. How many weddings do you take in a year, and will the people I speak to also run my wedding?

Good answers are specific. Be wary of any planner who tells you that every city is easy, every date is available or every venue will accommodate every request.

When to book a Rajasthan wedding planner

Six to twelve months ahead is ideal for a full wedding, and for Rajasthan the upper end is safer. Winter dates are the most requested, and peak-season and destination dates are often closed a year ahead. Gātha takes a limited number of weddings each year, so the dates still open are checked against every enquiry. Shorter timelines have been handled, and the team says honestly what is possible. If your date is close, say so in the first message.

Appoint the planner before you pay a deposit to a venue, not after. The venue choice decides the guest stay, the layout and much of the cost, so the planner should be part of it. The month-by-month order of work is the same as for any large Indian wedding, only with more weight on the venue and the guest journey.

Gātha's fee and limits

The planning fee is tiered by the overall investment in the wedding. It begins at Rs 2,00,000 for weddings of Rs 30 to 60 lakh, at Rs 3,00,000 for Rs 60 lakh to 1 crore, and at Rs 5,00,000 for Rs 1 crore and above. The fee covers design, planning and direction. Venue, décor and vendor costs sit inside the family's own budget and are shown transparently. Engagements, milestone birthdays and corporate events begin lower.

Gātha does not offer venue booking on its own, does not take weddings with a total investment under Rs 30 lakh, and does not do wedding car decoration. How the process starts: the family applies on the application page with dates, scale and the investment in mind; the team reads it and checks it against open dates; a call follows if there is a fit; and only then do design and quotation begin. Replies come within two working days.

Questions people ask

Not necessarily. One planner can hold a wedding across cities if the team plans each city's logistics properly and has people on the ground. A split wedding needs a transfer day and a second set of vendors, so ask how the planner will handle it.
Yes, through video walkthroughs, digital drawings, a planning dashboard and an on-ground team at the destination. One site visit is still advised. A good planner will say honestly what can and cannot be done at a distance.
Six to twelve months before the wedding is ideal, and a year ahead for peak winter dates. Appoint before paying a deposit to a venue, because the venue sets the layout and the guest stay.
A venue coordinator manages that one property. A planner designs and directs the whole celebration across venues, vendors, guests and days. The planner works for the family, not for the property.
Gātha does not offer venue booking as a stand-alone service, does not plan weddings with a total investment under Rs 30 lakh, and does not do wedding car decoration. It also does not run courses or take planner jobs.
