Wedding planner in Udaipur: what the role covers and how remote planning works

Udaipur weddings run over several days and several settings, often for guests who travel in. This page explains what a planner holds, what the venue holds, and how a Pune-based team plans the city.

In short

A wedding planner in Udaipur holds the date, the function plan, the vendors and the guest movements for a family marrying away from home. Gātha plans from Pune, Maharashtra, using video walkthroughs, digital drawings and an on-ground team. Planning fees start at Rs 2,00,000 for weddings of Rs 30 to 60 lakh.

What a wedding planner in Udaipur does

A wedding planner in Udaipur holds the schedule, the vendors and the guest movements for a family that is marrying in a city it does not live in. Udaipur is known for its lakes, its hills and its palace-style properties, and a wedding there usually spreads across several days and more than one setting. Managing that from another city, with messages and missed calls, is where families lose weeks.

The planner's work, in the order it normally happens:

  • Agreeing a date window with the family and checking it against what the properties and vendors can offer.
  • Shortlisting venues, viewing them on the family's behalf and presenting them on video with honest notes.
  • Drawing the function-by-function plan, from the first arrivals to the last departures.
  • Appointing and briefing the décor, sound, photography, catering and entertainment teams.
  • Planning guest travel, rooms, transfers and a welcome desk.
  • Running the days themselves with a team on the ground.

Gātha does this for full planning. Partial planning and day-of coordination cover less of the list, and the comparison of full, partial and day-of planning shows where each one stops.

Why Udaipur dates and venues close early

Lake-view and palace-style properties are few, and each can hold only a limited number of large weddings in a season. Families from many cities want the same cooler months, roughly November to February, so those weekends fill first. Gātha's own advice for any peak-season or destination date is that it is often closed a year ahead, and that six to twelve months is a sensible lead time for a full wedding.

Two decisions follow from that.

  1. Choose a window of dates, not one date. A venue that is free on your first choice may be free on a neighbouring weekend, and the planner can test several at once.
  2. Settle the venue and the date before anything else. Décor, artists and catering can usually be fitted around a confirmed property. A confirmed property cannot be fitted around a confirmed band.

Outside the cooler months the picture changes. Summer in Rajasthan is hot, and the monsoon, roughly July to September, brings rain that can disrupt open-air functions. Some families choose those months for availability. If you do, the plan needs covered or indoor options for every function, and the guests need to be told what to expect.

How a Pune-based team plans a wedding in Udaipur

Gātha works from Pune, Maharashtra, and plans weddings in other cities through remote reviews and a team on the ground. For Udaipur the method is the same as for any destination. The family applies on the application form with dates, scale and the investment in mind. The team reads it and checks it against the dates still open. If there is a fit, a call follows, for the family to judge Gātha as much as the other way round. Design, quotation and commissioning begin only after that.

Once planning starts, the distance is handled in three ways:

  • Venue scouting and virtual walkthroughs, so a family sees each shortlisted property room by room and setting by setting before deciding.
  • A digital planning dashboard, with drawings and video reviews that the family can comment on from wherever they are.
  • An on-ground team at the destination, which checks what the video cannot show and runs the functions.

Where it is possible, Gātha would still recommend one in-person visit before a deposit is paid. Video shows layout well. It does not show how long the walk from the car to the lawn feels to a grandmother in the evening.

Families abroad can read more about remote planning for NRI weddings in the FAQ below.

Guest travel to Udaipur by air or road

Udaipur has its own airport, a railway station and road links, so guests can arrive in more than one way. Guests from Gujarat may prefer to drive. Guests from farther cities will mostly fly, and flight schedules between cities change, so check current services before you fix an arrival day.

What the planner adds is order. Guests are grouped into arrival windows, each window gets a transfer plan, and a desk at the property checks people in against a rooming list prepared in advance. Departures are planned the same way, working back from the flight times rather than forward from the farewell lunch.

Three things are worth settling early: the number of rooms held and the date they are released if unused, whether elders and children travel with a separate vehicle, and who pays for guest transfers. Rooming and block bookings are worth a separate conversation with the venue.

Planner and venue: who holds what

A palace-style hotel or lake-view resort will usually have its own events team. That team looks after the property. The planner looks after the wedding. The two overlap but they are not the same job.

AreaThe venue holdsThe planner holds
Date and spacesAvailability, hire terms, which lawn or courtyard is used for which functionThe order of functions, the fit between spaces and guest numbers
Décor and productionRules on fixings, flame, flowers and what may be brought inThe design, the supplier, the install schedule inside those rules
Food and drinkIn-house kitchen or the list of approved caterersMenu direction, tastings, the plan for service on the day
Guest roomsThe rooms, the check-in process, the release datesWho sleeps where, arrival order, special requests
Sound and timingThe hour sound must stop and whereThe run of the evening built around that hour
TransfersOften nothing beyond the gateAirport, station and between-venue movement

If the venue's team is excellent, you still need someone whose only loyalty is to the family. That person reads the contract, notices when a promise has not been written down, and speaks for you when two parties disagree. The longer list of questions is in the guide to wedding venues in Udaipur.

Fitting functions to Udaipur's settings

Udaipur offers lakefront edges, courtyards, terraces, lawns and hall spaces, often within one property or a short drive apart. A good plan matches each function to the setting that suits its hour and its guest list.

  • Daytime functions such as haldi and lunch gather comfortably in shade, a courtyard or a covered lawn, because afternoon sun is strong for much of the year.
  • Evening functions suit open terraces and water edges, where light and view do most of the design work. They also need a plan for wind, and barriers or guidance near the water for children and older guests.
  • The wedding ceremony needs the space that holds the greatest number of people at once and has a simple, clear route in and out.
  • Moving between venues takes longer than it looks on a map. Leave a real gap between functions at different properties, with a vehicle plan for the in-between hours.

What Gātha does not do

Gātha does not sell venue booking on its own. If you only want a list of properties or a booking made, a travel or events desk is the better route. Gātha does not take weddings with a total budget under Rs 30 lakh, because the planning fee starts at Rs 2,00,000, and it does not decorate wedding cars.

Fees are tiered by the overall investment in the wedding: Rs 2,00,000 onwards for weddings of Rs 30 to 60 lakh, Rs 3,00,000 onwards for Rs 60 lakh to 1 crore, and Rs 5,00,000 onwards for Rs 1 crore and above. The fee covers design, planning and direction. Venue, décor and vendor costs sit inside the family's own budget and are shown openly. The wedding planner cost page explains how the fee is built.

Gātha takes a limited number of weddings each year, and every enquiry is read personally.

How to start a conversation

Send the application form with your date window, the likely number of guests and the investment you have in mind. The team replies within two working days. You can also write to gathaevents@gmail.com, and the contact page lists office hours of Monday to Saturday, 10am to 7pm. If your date is within the next six months, say so in the first message. Shorter timelines have been handled, and the team will tell you plainly what is still possible.

Questions people ask

Yes, through remote planning and an on-ground team. Gātha scouts venues by video walkthrough, shares drawings and reviews on a digital dashboard, and sends a team to the destination for the functions. The family judges the fit on a call before any design or quotation begins.
Six to twelve months ahead is a sensible lead time for a full wedding. Peak-season dates, especially in the cooler months, are often closed a year ahead. If your timeline is shorter, say so in the application and the team will explain what is realistic.
No. The venue team manages the property and its own rules. A planner manages the whole wedding, including the vendors, the guest movements and the contract details that sit outside the venue. The two work together, and the planner speaks for the family.
Yes. Planning for families abroad uses video walkthroughs, digital drawings and on-ground teams, so you can approve each step without being in India. Plan your own arrival for the final reviews and the first function.
Gātha does not offer venue booking as a service on its own. Inside full planning, the team shortlists and presents venues, and venue costs sit in the family's budget and are shown transparently.
Gātha is not the right fit. The planning fee starts at Rs 2,00,000, so the team takes weddings with an overall investment of Rs 30 lakh and above.
