Destination wedding cost in India: what drives it and how to compare

A destination wedding has no single price, because five choices set most of it. This page explains them, and sets out what Gātha's planning fee covers.

In short

Gātha's planning fee for a destination wedding in India starts at Rs 2,00,000 for weddings with an overall investment of Rs 30 to 60 lakh, and covers design, planning and direction. Venue, decor, travel and vendor costs sit inside the family's own budget. Guest count, nights, venue exclusivity, travel and season set most of the total.

Destination wedding cost in India: the short answer

Destination wedding cost in India cannot be given as one figure, and any page that does so is guessing. What can be said is where the cost comes from. Five choices set most of the total: how many guests, how many nights, how exclusive the venue is, how far everyone travels and which part of the year you choose. The scale of the decor and entertainment then sits on top.

The only figures published here are Gātha's planning fee tiers, because those are confirmed. No typical venue, catering, decor or travel figures appear on this page. They vary by place, date and specification, and a number without those details would mislead you. The right way to get a real figure is to ask for quotes against the same specification, which is covered below.

Gātha is a boutique wedding planner and atelier in Pune, Maharashtra, and it works with weddings where the overall investment is Rs 30 lakh or more. It does not offer low-cost or minimum-spend weddings, and it does not plan weddings under that total. If your wedding is under it, this page will still help you think about drivers, but Gātha is not the right planner.

The five drivers, with questions to ask

Each driver changes cost in a different way, and each has a question that gets a usable answer.

DriverHow it moves costQuestion to ask
Guest countMore guests mean more rooms, meals, transport and seating, and a larger buildHow many of the guests stay overnight, and in how many rooms?
NightsEach night adds rooms, meals and often a functionCan the programme be shorter without losing the main days?
Venue exclusivityA full buyout costs more than a shared property, and brings controlWhat is included in the buyout, and what is extra?
TravelGuests, family, vendors and equipment all have to arriveWho is covering which journeys, and who is paying for vendor travel?
SeasonPopular dates and long weekends are in high demandDoes the quote change for the dates one week either side?

Ask the same questions of every shortlisted place. A venue that answers each question plainly is easier to plan around than one that answers in general terms.

Guest count and nights multiply each other

Guest count and nights do not add. They multiply. Fifty more guests for two nights means fifty more people with rooms, breakfast, lunch, dinner and a seat on a coach, on each day. A third night adds another full set of meals and rooms for everyone, and usually one more function to fill the evening.

For that reason, the most useful lever is often the least obvious one: trim the number of guests who stay all nights. A family can host a core group for the full stay and invite a wider circle for the main function only. This changes the room count and the catering without changing the wedding itself. It is also the question a planner will ask first, because it shapes the contract with the venue.

Think about this when you compare places. A place with a modest day rate can end up the costlier choice if its rooms are few and half the guests must stay in a hotel across town, with coaches to move them each day.

Venue exclusivity and what the contract includes

A venue quote can mean several things. It may be a hire fee for the spaces, a package that includes food and rooms, or a minimum spend against the venue's own catering. Read what a price includes before comparing two venues, because two quotes of the same size may buy different things.

Look for these points in each quote:

  • Which spaces are included, and for how many hours on each day.
  • Whether rooms are part of the price or charged by the night.
  • Whether the venue's catering is compulsory, and what outside caterers pay to work there.
  • Charges for decor load-in, extra power, generators and sound.
  • What the rain plan costs, if the covered space is not included.

An exclusive buyout often costs more upfront and then removes many small extras. A shared property can look lower and then add them one by one. Compare the full list, not the headline.

Travel and stay: who carries what

Travel adds cost in three places that families often count only partly: guests, the family itself and the vendors. Guest travel may be paid by guests or hosted by the family, and many families host some guests and not others. Decide the policy early, because it changes the guest list and the plan for transfers.

Vendor travel is the one most often missed. A decor crew, a photography team, musicians and a caterer must reach the place, stay near it and carry equipment. A destination far from where your vendors live carries that cost into every quote. Ask each vendor whether the quote includes travel and stay, and keep the answer in writing.

Stay planning sits in the same box. How to place guests between the venue and nearby hotels is covered in the guide to destination wedding guest accommodation.

Season: dates change the picture

Dates in demand cost more to hold, and venues and vendors know it. Peak wedding months, long weekends and school holidays fill early, and the best-known places fill first. The weather also has a role, as the monsoon, from about June to September, makes outdoor events harder in much of the country, and extreme heat does the same in parts of Rajasthan.

Flexibility is worth money. If a family can move the date by a week, or choose a weekday function, ask each venue what the change does to the quote. You may find that one place is much more flexible than another.

How to compare two destinations fairly

Comparing destinations by their famous image rarely helps. Compare them by the same inputs.

  1. Fix the guest count, the nights and the functions, and write them down.
  2. Fix the dates, or two alternative dates, and the number of rooms needed.
  3. Send the same note to each place and each vendor, and ask for the quote in the same layout.
  4. Add the cost of getting guests and vendors there, which the venue quote will not show.
  5. Note what each quote excludes, and price those items separately.

When the totals are set side by side, place-specific costs become visible. For place-by-place readings, see the Goa destination wedding cost and Rajasthan destination wedding cost pages. Each reads the drivers for one place.

Gātha's published planning fee

Gātha's planning fee is tiered by the overall investment in the wedding. It covers design, planning and direction. Venue, decor and vendor costs sit inside the family's own budget and are shown transparently.

Overall investment in the weddingPlanning fee
Rs 30 to 60 lakhRs 2,00,000 onwards
Rs 60 lakh to 1 croreRs 3,00,000 onwards
Rs 1 crore and aboveRs 5,00,000 onwards

Engagements, milestone birthdays and corporate events begin lower. The wedding planner cost page explains how the tiers work. Gātha takes on a limited number of weddings each year, and a call comes before any design or quote, so the family and the team can judge whether they suit each other. To begin, send the application form. The team replies within two working days.

Questions people ask

Gātha works with weddings where the overall investment is Rs 30 lakh or more, and the planning fee starts at Rs 2,00,000. It does not plan weddings under that total, and it does not offer low-cost or minimum-spend packages.
Not automatically. A destination wedding adds travel and stay for guests and vendors, and it can reduce other costs depending on the venue and the guest list. The total depends on the guest count, nights and specification, so compare two quotes built on the same inputs.
The fee covers design, planning and direction of the wedding. Venue, decor and vendor costs are separate and sit inside the family's own budget, where they are shown transparently.
No. The team reads the enquiry, checks it against the dates still open, and holds a call first. Design, quote and commission begin only after that call. The published figures are the planning fee tiers.
Decide the guest count, nights and functions first, then compare places on the same specification. A smaller group staying for the full programme, with a wider circle invited to the main day, is one practical lever. Ask each vendor whether travel is in the quote.
Compare the places your guests can reach most easily, because travel cost and guest comfort follow from that. Then ask two or three venues for quotes on the same specification, and read them together.
